Project Administrator II
Job Description
General Atomics Aeronautical Systems, Inc. (GA-ASI), an affiliate of General Atomics, is a world leader in proven, reliable remotely piloted aircraft and tactical reconnaissance radars, as well as advanced high-resolution surveillance systems.
This role serves as a force multiplier for the VP and an integrator across the organization. This person will build and manage the operating cadence of a fast-moving team — tracking capture progress, preparing executive briefing materials, and ensuring that reporting to the Senior Vice President, President, and CEO is timely and accurate.
This role is explicitly a growth position. The right candidate will start as a skilled coordinator and integrator and develop, over time, into a trusted strategic advisor with deep knowledge of GA-ASI’s capture portfolio and government affairs priorities.
Capture Tracking and Integration
- Maintain a current, accurate view of capture activity across the organization’s international portfolio, tracking pursuit status, key milestones, and action items.
- Synthesize inputs from capture teams into consolidated status products for the VP’s use in internal and executive-level reviews.
- As proficiency develops, identify gaps, risks, and anomalies in capture progress and raise them proactively to the VP.
- Coordinate with BD, country teams, and other stakeholders to ensure capture data is current and complete.
- Coordinate with ITC and Government Affairs on export license status
- Support Government Affairs with Department of Commerce Advocacy Center
- Build and own the trip book process from scratch — establishing templates, timelines, and input standards for all VP travel.
- Coordinate preparation of briefing materials across BD, government affairs, and P&Ls on behalf of the VP.
- Ensure all materials are delivered on time, properly formatted, and appropriately cleared.
- Continuously improve the quality and utility of briefing products based on VP feedback.
- Own the organization’s weekly reporting cadence to the GA-ASI CEO and President — gathering inputs and synthesizing content.
- Manage the internal deadlines and accountability required to produce consistent, high-quality reports.
- Track B&P and marketing budgets, identify potential budget risks and/or trends
Organizational Integration
- Manage action items, follow-ups, and commitments made by the VP in meetings, reviews, and correspondence.
- Coordinate across internal stakeholders to ensure the organization’s priorities are understood and advanced

- Typically requires a bachelors degree in Business Administration or a related discipline and three or more years of progressive professional project administration experience. Equivalent professional experience may be substituted in lieu of education.
- Exceptional organizational skills.
- Strong written communication — ability to write clearly, and concisely.
- Bachelor’s degree required; fields such as international relations, political science, business, communications, or related disciplines are relevant but not required.
- 3-5 years of professional experience demonstrating strong organizational and communication skills.
- Experience coordinating across multiple teams or stakeholders in a professional environment and project management experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with project tracking tools is a plus.
- Ability to obtain and maintain US DoD clearance is required.
- Willingness and ability to travel domestically and internationally as required.
